Privacy Policy
The short version
- We collect your documents only to review and correct your government forms. Nothing else.
- Your information is encrypted and stored in Canada.
- Only your reviewer and a second checker can see it, and every access is logged.
- We delete your documents 30 days after we deliver, unless you ask us to keep them.
- We never sell your data, and you can access, correct, or delete it at any time.
1Who we are
Applii is a document-review service for new parents. We are operated by [Legal entity name], located at [registered address], and reachable at hello@appliicanada.com. This policy explains how we handle personal information collected through appliicanada.com and our Ontario new-baby review.
We are a review service, not a law firm or a government agency. You remain the applicant and filer of record for every form. We handle your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), and we treat health-related information (such as OHIP details) with extra care, consistent with the principles of Ontario's Personal Health Information Protection Act (PHIPA).
2What we collect
We collect only what we need to review and correct your forms:
| Category | Examples |
|---|---|
| Identity & contact | Parents' names, email, phone; photo identification |
| Family details | Your baby's name, date and place of birth; household details needed for the forms |
| Supporting documents | Proof of birth / hospital paperwork, the forms you've started, passport photos |
| Health-related identifiers | Information needed for the OHIP infant registration (e.g. health-card details) |
| Account & usage | Your sign-in email and basic security logs for your Applii account |
| Payment | Processed by Stripe; we do not see or store your full card details |
We do not collect more than the task requires, and we don't use tracking that profiles you for advertising.
3Why we collect it
We use your information for one purpose: to review your government forms, correct errors, complete fields you got stuck on, and return a print-ready package. We also use your contact details to communicate about your review and to follow up afterward. We do not use your information for any unrelated purpose without asking you first.
4Consent
You provide your information voluntarily when you sign up and upload your documents, and we ask for your consent to the handling described here at that point. You can withdraw your consent at any time by emailing us, though doing so may mean we can no longer complete your review. Where both parents are involved in a filing, we rely on the consent of the person submitting the documents and ask that they have the other parent's agreement.
5Where your information is stored
Your documents and form data are stored on Google Cloud servers in Toronto, Canada, encrypted in transit (TLS) and at rest (AES-256). Files you upload go directly to that Canadian store. A few service providers we rely on (for payments, account emails and support requests) may process limited information outside Canada: your email address, your review reference, payment details, and any message you send us. They never receive your documents or form answers, and that limited information remains protected by contractual and security safeguards. When your reviewed package is ready, you download it from your secure Applii account; we never send it as an email attachment. See Service providers and our Security page for detail.
6Who can see it
Access is limited to the Applii reviewer working on your file and a second reviewer who checks the work before delivery. No one else has standing access to your documents, and every access is recorded in an audit trail.
7How long we keep it
We delete your uploaded documents 30 days after we deliver your package, unless you ask us to keep them so we can help with a future filing. We retain a minimal record of the transaction (that a review happened, and when) for our business and tax records. You can ask us to delete your information sooner at any time.
9Your rights
Under PIPEDA you have the right to:
- Ask what personal information we hold about you and request a copy.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw your consent and ask us to delete your information.
- Ask questions or raise a concern about how we handle your data.
To exercise any of these, email hello@appliicanada.com. We will respond within a reasonable time, normally within 30 days.
10Health-related information
The OHIP infant-registration filing involves health-related identifiers. We treat this information with particular care (the same encryption, Canadian storage, limited access, and short retention described above), consistent with the principles of PHIPA. We use it only to help complete that filing.
11Information about your child
Our service is about your newborn's paperwork, so we necessarily handle information about your child. We collect it from you, the parent, and use it only to prepare the filings you've asked us to review. We apply the same protections to your child's information as to your own.
12Changes to this policy
If we change how we handle your information, we will update this page and revise the effective date. For material changes, we will make reasonable efforts to let affected customers know.
13Contact & concerns
Questions, requests, or complaints about your privacy can go to our privacy contact, [Privacy Officer name], at hello@appliicanada.com. If you are not satisfied with our response, you have the right to contact the Office of the Privacy Commissioner of Canada (priv.gc.ca) and, for health information concerns in Ontario, the Information and Privacy Commissioner of Ontario (ipc.on.ca).
